What is a proxy user?

University of Redlands students can designate an individual as a proxy user in the Self-Service Portal.  Designating a proxy user in Self-Service authorizes that person to access specific areas of the student’s educational record.  This access can be granted, changed, or revoked at any time by the student via the Self-Service portal. Proxy Users in the Self-Service portal are replacing the current Authorized User access in RedlandsPay.  Starting June 30, 2018, RedlandsPay Authorized users will no longer have access to student account information through RedlandsPay. Please note, this does not take the place of a Family Educational Rights and Privacy Act (FERPA) release. To authorize an individual to discuss your account with someone at the University, please visit https://www.redlands.edu/ferpa.

What areas of a student’s educational record can a proxy user access?

University of Redlands students can authorize others to view selected portions of their educational record, including:

• Financial Aid Information,
• Student Account Information, 
• Missing Information/documents, and/or
• Grades

The student can designate all or selected portions of their individual record.

How does a student set up a proxy user?

The designation of a proxy is completed via the User Profile icon in Self-Service.

1.) Click on your name in the top bar, and then click on View/Add Person Proxy.

2.) Under Add a Proxy

a. Select one of the individuals associated with your record.  If the person you would like to grant proxy access to is not listed, please contact Student Financial Services at 909-748-8047 or SFS@redlands.edu.

b. When you select an individual in the drop-down, please confirm that the email address associated with that individual is correct, as that is where his/her username/password will be sent.  If the information is not correct please contact Student Financial Services at 909-748-8047 or SFS@redlands.edu.

c. You have the option to choose what information your proxy can access. If you want your proxy to see all of your information, click the “Allow complete access” button. If you only want your proxy to be able to review your student account, check the Account Activity and Account Summary boxes.

d. Once you have reviewed all the information and read the Disclosure Agreement, click the authorization box and then the submit button.

3.) When you successfully designate someone as your proxy, you will see this screen:

Your proxy will get an email with login information.  You, the student, will receive a copy as well.  The username and password will be sent in two separate emails.

How do I log-in to Self-Service as a Proxy User?

1.) Navigate to Self-Service at selfservice.redlands.edu/student

2.) Log-in to Self-Service using your Redlands Self-Service Username and password. If you don’t already have a Redlands Username, you will be (or have already been) sent one via email.  Your username is your firstname_lastname. You will also be (or have been) sent a temporary password that you will be required to change upon login. Should you have any issues, with this step or any below, we recommend clearing your cookies and trying again.

3.) Once you log in, you will receive the option to view either your information or the student’s. Make sure to select the student’s information.

When you are correctly logged in to the student’s account as a proxy user you will see a green bar across the top of your screen indicating that you are acting on behalf of the student.

How do I change or reset my password?

When you first access Self-Service you will be required to rest your password. 

Your password must match the following standards:

• Password must be at least 8 characters in length
• Password cannot contain more than 2 consecutive characters from your email address.  For example, John_Smith@redlands.edu cannot have a password of ‘1X52smi’
• Password will need to contain 3 of the following options:
• Capital Letters, Lowercase Letters, Numbers and Special Characters ($,@,#, etc.)
• Password cannot match any of the 3 previous passwords

The email address that is associated with my proxy is incorrect. How can I correct this information?

Please Contact Student Financial Services at 909-748-8047 or SFS@redlands.edu, to provide an updated email address for your proxy. Without a valid email address, your proxy will not receive the appropriate login/password information to set-up his/her proxy access.

My mom is already my proxy. Now my brother is a student here. Can she automatically access my brother’s information too?

Your brother needs to access his own User Profile in Self-Service, and designate your mom as his proxy. Once proxy access has been granted, your mom can use the same username and password to access his information too.

My proxy called University of Redlands to get some clarification about my bill, but wasn’t able to get any assistance. Why?

By adding a proxy user, you are authorizing a designated person to access specific areas of your Self-Service account.  Authorizing an individual as a Proxy does not take the place of a Family Educational Rights and Privacy Act (FERPA) release. To authorize your proxy to discuss your account with someone at the University, please visit https://www.redlands.edu/ferpa.

My dad is listed on my FERPA Release Form, but he can’t access my financial aid information online. Why?

Granting proxy access is separate from submitting the FERPA Release Form. You will need to log into Self-Service and designate your dad as your proxy. He will receive a username/password via email, and then he will be able to log into Self-Service and view the account information you designate.

I already set up my parent as an Authorized User in RedlandsPay, why can’t they access my Self-Service Account?

If you have previously granted access to an authorized user to view your student account through RedlandsPay, they will need to be set up as proxy user in the Self-Service portal to access your account moving forward.  Your student account will no longer be viewable through RedlandsPay starting July 1, 2018.

How do I delete a proxy user from my account?

To delete a proxy user from your Self-Service account, login to Self-Service. Once logged in, click on your name in the top bar, and then click on View/Add Person Proxy.

In the Proxy Access screen, review your “Active Proxies” and find the individual you would like to delete.

Click on the icon to edit proxy access.

On the edit proxy access screen, click the dialog box for “Remove All Access” and then click save.

Once you click save, that individual will no longer have access to your account and will no longer appear in your list of active proxies.
